How Voxmill 0.2.9 behaves on a Mac, from the first launch to the reset.

First launch
On the first launch Voxmill walks you through three short steps. The first says what the app does. The second shows the licence terms and the privacy notice: tick the box and click Next. The third asks about anonymous error reports: Send reports or Do not send, with neither chosen for you. You can change the reports choice later in Settings, under Privacy.
Then one download before the first transcript. After that Voxmill works offline.

When something fails
Voxmill cannot open a file
Voxmill reads audio and video only: MP3, WAV, FLAC, OGG, OPUS, M4A, AAC, WMA, MP4, MOV, MKV, WEBM. Other files are skipped, and it says how many. If a file from that list still fails, check that it plays in another app; "Why" on the row shows the reason Voxmill got.
A file stopped before the end
Press Continue. Voxmill keeps the part of the transcript it already wrote and carries on from there; the row says "Stopped". A file cut short by a crash or a force quit returns to the queue by itself at the next launch, and its row says "Carrying on from ...".
A row says "Failed earlier" or "Stopped earlier"
That row is from an earlier session: the list survives a quit. "Why" shows the reason. "Clear the list" takes the done and failed rows, and never a stopped one.
The first transcript with Voxmill Pro takes minutes
The app sets up the Neural Engine for Voxmill Pro once, and the window says so. It happens only once. If you would rather not wait in the download panel, press Cancel and it finishes during your first transcript.
The update does not install
Voxmill asks tenzanlogic.com for a newer version once when the window opens and once a day. "Could not reach tenzanlogic.com. Try again later" means the question failed, not your copy. "The update file did not pass the signature check and was not installed" means the file carried no Tenzan Logic signature and Voxmill refused it; download the disk image from the download page instead. "There is no newer version to install" means you have the newest one.
How do I send diagnostics
The Help menu, then "Copy Diagnostics". It copies basic facts about the app and the computer and the latest log lines, with folder names, keys and e-mail addresses removed. File names stay, so read it before you send it. Paste that into a message to contact@tenzanlogic.com.
The free version refuses a second file
It transcribes one file at a time. Add the files one by one, or choose "Enter your Pro key" right after the message.
Voxmill asks to move itself to Applications
The "Move Voxmill to Applications?" window appears when you open Voxmill straight from the disk image, or from the temporary place macOS moves apps opened from Downloads to. Click "Move to Applications": Voxmill copies itself to Applications, ejects the disk image and opens from there. Updates install only in Applications. "Not Now" changes nothing, and the question comes back at the next launch. The window speaks the Mac's language.
Where the files live
The list of files, the transcripts and the recordings stay on your Mac, in Voxmill's data folder outside the app, so they survive a reinstall. The privacy notice names the exact places.
The app opens the log itself too: the Help menu, "Show the Log". A transcript saved with "Save as…" goes wherever you point the save dialog.

Recording a meeting
The "Record a meeting" button, or Cmd+R. Voxmill records your microphone and the computer's own sound into one file, so the recording holds the whole Teams, Meet or Zoom call and the people in the room. The first time, the window reminds you: "Tell the other people in the meeting that you are recording. Some countries ask every person to agree first." While it records, the button turns red and the time runs beside it.
macOS asks for the microphone at the first recording. The computer's own sound needs a grant in System Settings, under Privacy & Security, Screen & System Audio Recording; without it the meter says "Voxmill cannot hear this Mac's sound." with a button that opens that setting. "Stop recording" puts the file in the list like any other. Quitting mid-recording finishes the file and leaves it in the list too, and the Mac does not go to sleep while a recording runs.
Notes folder
Settings, "Write notes to", "Choose…", pick a folder. From then on every finished file gets one Markdown file there: the recording's name, the date, the length and the speaker count at the top, one paragraph per turn under them. Obsidian and Logseq open that folder as their own. A note that could not be written says so on the row and under the folder in Settings, and the transcript is ready all the same. A file you wrote yourself at a name Voxmill used is never overwritten: the next note takes the next name.
Summaries (beta)
With a Pro or Team key. Settings, "Summaries (beta)", then "Your name" and "What to focus on" under it. The switch adds one download. A finished file gets a summary of a few sentences, made on your computer in a program of its own once Voxmill has finished transcribing every file on the list; a new file to transcribe always goes first. On the row: "Summarise" or "Summarise again" and "Copy summary"; a note in the notes folder gets a "Summary" section under the transcript. The summary is a beta: read it beside the transcript before you rely on it, because the model can present someone's report or proposal as a decision. A summary that fails says why on the row and never fails the transcript.
Pro and Team keys
The key arrives by e-mail from Polar right after the purchase and starts with VOXMILL-. In the app: "Enter your Pro key" at the bottom of the window, paste the key, Activate; a Team key goes in the same field. Activating sends the key and a fingerprint of this computer to Polar. After that Voxmill confirms the key online once every 30 days. Offline the key keeps working 30 more days, then the app falls back to the free version until a confirmation succeeds.
- Computers
- 3 at once on a Pro key, 10 on a Team key. Each user account on a Mac counts as its own computer.
- Team key
- One key for the whole organisation. Pass it to each of the 5 people, and each enters it on their own computer; you share 10 activations.
- Freeing a computer
- "Manage key" at the bottom of the window, then "Remove the key from this computer". If that computer is gone, remove its activation in the buyer's portal at polar.sh/tenzanlogic/portal. Activations show there as a 32-character code and a date instead of a name; pick the one from the day you activated the old computer. Erasing the Mac or deleting Voxmill's data does not free the activation.
- The key does not work
- The window says why. Check that the whole key is pasted, VOXMILL- at the start included. Polar refuses a key it does not know: one with a typo, one refunded, or one whose activation was removed. It also refuses a key already active on as many computers as it allows; free one of them. Activation needs the internet; press Activate again once you are online.
- A lost key
- The key is in the e-mail from Polar. The buyer's portal shows it again. If that fails too, write to contact@tenzanlogic.com.
- Refund
- 14 days from purchase, no reason needed. Write to contact@tenzanlogic.com from the address you bought with; the refund goes through Polar. The key stops working at its next check.
- Updates
- Every version 1 update is included and installs from the app in one click. Key owners get version 2 at half price.
Keyboard shortcuts
A shortcut that acts on a file takes the row you are in, and the newest row offering that action when you are in none. While you type in a text field, the shortcut belongs to the field.

A question raised by a two-press shortcut expires after twenty seconds, or when you move to another row.
Reset
Settings, the Advanced section, "Reset Voxmill". It clears the list of files and their transcripts; your Pro key and your settings stay. Tick "Delete the downloaded speech models too" to remove them with it. The message afterwards names the backup copy of the old list and the folder that holds the log.
